What's blocking the month-end close?

it's early in the month, and last month's books should close. What stops them is usually found one item at a time: a bank line nobody matched, an invoice keyed but not submitted, goods received and not yet billed.

You are

Ellen Brooks, Controller at Aurora Components.

The situation

it's early in the month, and last month's books should close. What stops them is usually found one item at a time: a bank line nobody matched, an invoice keyed but not submitted, goods received and not yet billed.

Here you ask for the whole list at once, each item with what it is and who acts.

> Dynocortex explains your company's own figures and who decides. It does not give tax, legal, credit or investment advice; for those, ask a qualified adviser.

Step by step

Each step as it looks in the demo installation, on Aurora Components (Demo).

  1. Open Dynocortex → Chats and ask

"What's left to do before we can close last month?"

What's blocking the month-end close?, step 1: Open Dynocortex → Chats and ask:
  2. Ask

"Is any supplier invoice from last month still a draft?"

What's blocking the month-end close?, step 2: Ask:
  3. Ask

"Is anything delivered or received last month and not yet invoiced?"

What's blocking the month-end close?, step 3: Ask:
  4. Ask

"How many bank lines are still unmatched, and who reconciles them?"

Your bank details are protected: bank statement lines never reach the AI. Dynocortex counts the unmatched lines from the books' side, names the deposit it already knows of and who reconciles them, and the lines themselves stay in the ERP, where you can open them.

What's blocking the month-end close?, step 4: Ask:
  5. Open the Banking screen (or Accounting → Bank Transaction) and find the $250 deposit nobody has identified.

What's blocking the month-end close?, step 5: Open the Banking screen (or Accounting → Bank Transaction) and find the $250 deposit nobody has identified.
  6. Ask

"Is last month's insurance released, and the euro payable revalued? Can anyone still post into last month?"

What's blocking the month-end close?, step 6: Ask:

What a good answer contains

  • A checklist of last month's close, each item read from the records, with what was checked, so you see what wasn't.
  • A supplier invoice from last month still in draft, from Lumen & Co Lighting, for one of its receipts: keyed, not submitted. Ellen has it checked against the receipt and submitted.
  • That receipt, as received and not yet invoiced, until the invoice is submitted.
  • How many bank lines are not yet matched, counted from the books' side, the $250 deposit nobody has identified (its date and its one-line description), and that Ellen reconciles them. For the lines themselves it points you to the Banking screen or the Bank Reconciliation Statement, since statement lines and bank details never reach the AI.
  • The insurance released for last month, and the euro payable revalued at the month's end, or that no euro invoice was open then.
  • That no accounting period is set, so last month is still open to posting.
  • Who acts on each: Ellen for the books, Nina (the buyer) for a receipt waiting on its invoice.

What the full product does beyond the demo

The Executive runs this checklist on the first working day of each month, follows up each open item with its owner, and tells the controller when the last one clears.

Answers are worded afresh each time, so yours will read differently. The demo company is made up, and its data goes back to the start every night.
